Thank you for choosing Flight Fare Experts Pty Ltd (“we”, “our”, “us”). Please read these Terms and Conditions carefully before making a booking with us. By confirming a reservation through Flight Fare Experts, you agree to these Terms and Conditions, which govern all travel arrangements we make on your behalf.
1. Our Role as Your Travel Agent
Flight Fare Experts acts as an agent on behalf of travel service providers, including airlines, hotels, cruise lines, car hire companies, insurance providers, and tour operators (“Service Providers”). We facilitate your booking and payment to these Service Providers.
All travel products and services booked through us are subject to the Service Provider’s own terms and conditions, which you must read and accept. We are not responsible for the acts, omissions, or default of these third parties.
2. Travel Documentation
You are responsible for ensuring that all names, dates, and travel details are correct on your booking and travel documents. Please check all information before making the payment, and again, immediately upon receipt of the confirmations.
All passengers must hold valid passports, visas, re-entry permits, and other required travel documentation. Failure to obtain the correct documentation may result in denied boarding or entry, for which Flight Fare Experts accepts no responsibility.
3. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance at the time of booking to cover unforeseen events such as unfavourable schedule changes, cancellation, medical expenses, loss of luggage, travel delays, or disruption. Policies are offered through our partner providers, but you may choose your own insurer. You must purchase a suitable travel insurance upon booking your travel to avoid any such unforeseen circumstances.
4. Prices and Currency
All prices quoted by Flight Fare Experts are in Australian Dollars (AUD) unless otherwise stated. Prices are based on current exchange rates, airfares, and taxes, and may change without notice due to supplier or government adjustments.
Once full payment has been received, prices are generally locked unless a tax or surcharge is applied by the Service Provider. In unlikely circumstances where prices change immediately or within a short span of the payment, we will advise you of the difference in the price, and you may choose to pay the difference or get a full refund of the paid amount.
5. Deposits and Payments
A deposit may be required at the time of booking to secure your travel arrangements. The balance of payment is due by the date specified by your travel consultant or as per your invoice.
Failure to pay on time may result in automatic cancellation by the Service Provider, with any applicable cancellation fees applying. In most cases deposit will be forfeited if you fail to pay the balance by the specified dates.
We accept major credit cards, debit cards, and other electronic payment methods. A service or card surcharge may apply and will be disclosed before payment.
6. Booking Confirmation
Your booking is confirmed only once full payment has been received and you have received written confirmation from Flight Fare Experts.
If any issue arises with your booking (such as price or availability changes), we will contact you promptly to discuss alternatives.
7. Amendments and Cancellations
Any amendment or cancellation requested by you must be submitted in writing to Flight Fare Experts. Service Providers may charge amendment or cancellation fees according to their own policies.
Flight Fare Experts also reserves the right to charge a service fee for handling changes or cancellations.
Refunds, if applicable, are processed only once received from the relevant Service Provider. We will try to refund within 4-5 weeks after the refund has been applied, but in cases where the refund is delayed or rejected from the supplier's end, Flight Fare Experts take no responsibility for the time frame or the amount of the refund. Please note that some fares are strictly non-refundable.
Please note that the refunds, when applied under any special circumstances take longer than usual.

8. Airline Conditions and Schedule Changes
Airlines may alter flight schedules, routes, or aircraft at any time. These changes are beyond our control. We will assist you to the extent possible in managing such changes, but Flight Fare Experts is not liable for costs or losses arising from schedule alterations, flight cancellations, or delays. You must purchase travel insurance to avoid monetary losses arising from such unforeseen disruptions.
Please note that in the event of any last-minute (within 72 hours of the departure) schedule changes or cancellations, you must contact the involved airlines or the service provider for assistance, as the agency loses control over managing the booking within 72 hours of the departure.
Refunds in the event of schedule change or flight disruption are subject to approval from the service provider, and Flight Fare Experts cannot commit to whether a refund will be provided or the amount. You must not utilize the affected travel arrangement if you wish to seek a refund as per the generic aviation rules.
9. Credit for Future Travel
If you receive a credit due to a cancellation or change, it is subject to the terms and expiry dates set by the Service Provider. Flight Fare Experts does not guarantee rebooking availability or value retention.
10. Refunds
Refund requests can only be processed once approved by the Service Provider and received by Us. Processing times may vary and can take several weeks. Refunds are paid to the original form of payment, less any applicable fees, service charges and the handling fees.
11. Liability
To the extent permitted by law, Flight Fare Experts is not liable for any injury, loss, damage, delay, or inconvenience caused by or arising from acts or omissions of Service Providers or any third party.
Where our liability cannot be excluded, it is limited to the amount paid for the affected travel service.
12. Complaints and Assistance
If you experience an issue last-minute (within 72 hours of departure) or during travel, you should first attempt to resolve it directly with the Service Provider. If the issue remains unresolved, please contact Flight Fare Experts so we can assist.
13. Special Requests
While we pass on special requests (such as seating, meals, bedding, or accessibility), these cannot be guaranteed and remain at the discretion of the Service Provider.
14. Travel Health & Safety
You are responsible for checking current travel advisories, vaccination, and health requirements before travel. Government guidance is available at www.smartraveller.gov.au. Flight Fare Experts is not responsible for issues arising from failure to meet these requirements.
15. Privacy Policy
Your personal information is collected and used in accordance with our Privacy Policy. This information is shared only as necessary to complete your travel arrangements.
16. Force Majeure
We are not liable for any failure or delay in performance due to events beyond our reasonable control, including but not limited to natural disasters, war, pandemics, strikes, or government restrictions.
17. Governing Law
If any dispute arises between you and us, the laws of Australia will apply. You irrevocably and unconditionally submit to the exclusive jurisdiction of the courts of Australia, and waive any right that you may have to object to an action being brought in those courts.
18. Amendments to These Terms
Flight Fare Experts reserves the right to update these Terms and Conditions at any time without prior notice. The version in effect at the time of booking will apply to your travel arrangements.
19. Our Fee Schedule
Flight Fare Experts fees are in addition to all service fees and charges by the supplier and our consolidators in terms of cancellations, and in addition to fare difference, all service fees and charges by the supplier and our consolidators in terms of date change and schedule change requests.
Subject to your refund and remedy rights under the Australian Consumer Law, the following change or cancellation fees will apply to your booking (including online bookings and bookings made with a consultant), as set out in sections 9 to 13 below:
- Changes to Domestic/Trans-Tasman bookings will incur a fee of $80 per person per booking.
- Changes to International bookings (excluding Trans-Tasman bookings) will incur a fee of $150 per person per booking.
- Cancellations of Domestic/Trans-Tasman bookings will incur a fee of $100 per person per booking.
- Cancellations of International bookings (excluding Trans-Tasman bookings) will incur a fee of $150 per person per booking.
In addition to all the above charges, an after-hours fee of $50 per person per booking will be applicable if your request is within 72 hours of the departure date and you contact us outside of our normal business hours of Monday to Friday between 10 am and 5pm.
These change and cancellation fees reflect the reasonable, direct and indirect costs, time and effort incurred or involved in us providing booking and advisory services to you, as well as processing and managing the changes to, or cancellation of, your booking.
If you wish to change or cancel a booking that has been booked you must contact us on the provided contact details within working hours of Monday-Friday between 10am and 5pm.
20. No show
NO SHOW is an event when you fail to appear to commence or continue your travel arrangement at the specified location within the specified time.
In the event of NO SHOW, your fare will be forfeited, and no refund will be applicable.
21. Service Guarantee
Our booking and advisory services come with guarantees under the Australian Consumer Law that:
- They will be provided with due care and skill;
- They will be reasonably fit for the specified purpose;
- They can reasonably be expected to achieve the desired result; and
- They will be provided within a reasonable time.
If we fail to meet any of these guarantees, you have rights under the Australian Consumer Law.
23. Acknowledgement
You acknowledge that you are 18 years of age or older and that you understand and agree with the above Booking Terms and Conditions and our Privacy Policy.
